Cancellation/Transfer Policy
We appreciate that occasions arise which necessitate clients to cancel or change their course booking due to unforeseen circumstances and we therefore try to be flexible in our approach to each case. Substitutions: Clients wishing to substitute a registered delegate may do so up to the commencement of the course without penalty.
Transfers: Clients who wish to change the date of their course must notify us at least 5 working days in advance so that we can offer their place to any delegates waiting for a space. We are happy to transfer any bookings to alternative course dates (subject to availability).
Cancellations: Cancellations received at least 15 working days in advance of the course date will not incur any charge and a full refund of any monies paid will be made.
Cancellations received between 15 and 5 working days before the course date will incur a cancellation charge being 50% of the training fee. As a courtesy, this may be used against any future training booked.
Cancellations received with less than 5 working days’ notice and no-shows will be liable for 100% of the training fee. This can be used against any future bookings but a £35+VAT admin charge will be incurred against the new booking.
Cancellation of course by Drawing and Talking Ltd
Whilst every effort is made to avoid any changes to the scheduled course, Drawing and Talking Ltd reserves the right to change or cancel a course at any time for reasons including (but not limited to), minimum course participants not being reached, venue or trainer availability, weather, natural disaster.
Notification will be given to delegates as soon as a decision is made to cancel a course, we aim to give at least 5 working days’ notice where possible.
Delegates will be offered places on alternative courses or given a full refund for any payment made.
Drawing and Talking Ltd is not liable for any direct or indirect expenses that may be incurred due to a cancellation of a course, including (but not limited to) cancellation penalties for transportation or accommodation.

Introduction
These Terms and Conditions ("Agreement") govern the annual Continuing Professional Development (CPD) and membership subscription ("Subscription") between Drawing and Talking Ltd ("we," "us," or "our") and subscribing schools or organisations ("Subscriber," "you," or "your") for each of their Drawing and Talking Practitioners ("Practitioner"). By enrolling in the Subscription, you agree to comply with and be bound by this Agreement.

Subscription Services
The Subscription provides Practitioners with access to CPD resources, including but not limited to:

Live and on-demand coaching calls

One-to-one coaching calls

Masterclasses
-
Additional courses from Drawing and Talking and sister company Mental Health Hub

Relevant reading material

Practitioners are required to complete and record a minimum of 6 hours of CPD each year to maintain accreditation, and competence and adhere to best practices.

Practitioner Register
On activation of membership, Practitioners will be added to a public register of accredited Drawing and Talking Practitioners, who have met their CPD requirements and adhere to best practices. This register serves to confirm the status of Practitioners and promote transparency.

Subscription Fees, Payment, and Renewal
Annual Fee: You agree to pay an annual CPD/membership fee for each Practitioner enrolled in the Subscription. An annual fee will be charged at £99 + VAT and automatically invoiced to the original billpayer. Drawing and Talking reserves the right to change the price and those affected will receive a 30-day notice of these price changes with the option to cancel renewal.
First-Year Inclusion: The first year's CPD membership is included as part of the Foundation Course training.
Renewal Date: A Practitioner’s renewal date will be the anniversary of their initial training each year or 1 year after their last renewal date
Annual Invoicing: Subscriptions are invoiced annually in advance.
Payment Terms: Payment is due 30 days after receipt of the invoice. Late payment may result in withdrawal of access to CPD resources and removal from the Practitioner Register.
Non-Refundable: Subscription fees are non-refundable. If a Practitioner leaves your organisation or ceases to use Drawing and Talking methods during the subscription year, no refunds or credits will be provided.
Responsibility to Inform: It is your responsibility to inform us promptly if a Practitioner is no longer using Drawing and Talking methods or has left your organisation. Failure to do so may result in continued billing for that Practitioner.

Right to Terminate and Subscription Cancellation
You may terminate your Subscription at any time by providing written notice to us. Termination does not entitle you to a refund or credit for any remaining subscription period.
Invoices will be automatically generated unless Drawing and Talking are given, in writing, 30 days' notice of cancellation before the next billing date.
We reserve the right to withdraw access to Subscription services for any Practitioner or Subscriber if misuse is detected or if concerns are reported. Misuse includes, but is not limited to:

Sharing login credentials

Unauthorised distribution of CPD materials

Falsification of CPD records

Any actions that compromise the integrity of the CPD program

In such cases, we will notify you of the concerns and any actions taken.

CPD Audits
We may conduct audits of Practitioners' CPD records as part of our quality assurance process. Practitioners are expected to:

Maintain accurate and up-to-date CPD records
-
Demonstrate how CPD activities have enhanced their practice

Failure to meet CPD requirements or comply with audit requests may impact a Practitioner's registration and membership status.

Amendments
We may amend these Terms and Conditions from time to time. Any changes will be communicated to you, and continued participation in the Subscription constitutes acceptance of the amended terms.

GDPR
In line with GDPR guidelines, you have the right to request the removal of your data from the public library.

Governing Law
This Agreement is governed by and construed by the laws of England and Wales.
